The five criteria that actually matter
1. Local track record in your specific suburbs
An agent who works Constantia, Claremont, Rondebosch, Kenilworth and Wynberg every week prices your rental correctly on day one. They know what a two-bedroom in Harfield is letting for this quarter, which streets attract applications inside 48 hours, and which contractors deliver acceptable work at a fair price. A national franchise running your property out of a distant office does not have that feel for the street. Ask any agency how many properties they currently manage in your suburb, and how many days, on average, their listings take to let.
2. Tenant screening rigour
Who occupies your property determines almost everything that follows. Thorough screening should include a credit check through a registered bureau, employment and income verification, a review of three months’ bank statements, ID verification, and previous-landlord references. 3. Trust-account security
Your rent should never touch an agency’s working bank account. Reputable managers run all rental income through a dedicated trust platform such as PayProp, so funds are ring-fenced and reach you within 24 to 48 hours of receipt, with an itemised monthly statement. Ask which trust system the agency uses and how quickly you are paid after the tenant pays.
4. Fee transparency
Cape Town management fees are usually split in two: a Finder’s (procurement) fee to place a qualified tenant, typically 7%–10%, and a monthly management fee for ongoing administration, typically 4%–6%. What matters is the total, in writing, with VAT and any add-ons spelled out. A quoted 8% that becomes 12% once VAT and admin fees are added is not cheaper than a transparent flat rate. 5. Who handles your mandate
Ask a simple question: “If I sign, who will I actually deal with in six months?” In many agencies the answer is a revolving door of junior agents, each one inheriting your lease and tenant history and then moving on. A boutique, owner-operated model keeps the same senior person accountable for your property for the life of the mandate.

Score each agency you shortlist out of 2 on each criterion (0 = vague or no, 1 = partial, 2 = clear and specific):
