This means rental income must be properly accounted for, maintenance decisions must be prudent, and all transactions must be fully transparent and auditable. Managing a trust property carries obligations beyond standard rental management. These are the questions trustees ask most.

What is trust property management?

Trust property management means managing rental properties held in a trust on behalf of the trustees and beneficiaries. The property is an asset of the trust, not of an individual, so the management relationship is with the trustees. We handle tenant placement, lease management, rent collection, inspections, and maintenance with the additional reporting and accountability that trust structures require.

What types of trusts do you manage properties for?

We manage properties for family trusts, testamentary trusts (properties inherited through a will), and investment trusts. We work primarily with smaller Cape Town-based trusts where trustees want attentive, hands-on management rather than a large corporate firm.

How is rental income handled for trust properties?

Rental income is collected via PayProp and disbursed to the trust's designated bank account on a fixed monthly cycle. Full statements are available at any time via the PayProp owner portal. All income is held in a separate trust account and never co-mingled with operating funds, in line with the Property Practitioners Act.

How do you report to trustees?

Monthly statements are issued automatically via PayProp. Written summaries are available on request for any period. If multiple trustees require separate communication, we accommodate that. For trust properties where trustees are geographically spread, we handle all coordination remotely.

What documentation do you require from trustees?

We require a copy of the trust deed, the Letter of Authority issued by the Master of the High Court, and FICA documentation for each trustee (ID and proof of residential address). For testamentary trusts, we also require the Letters of Executorship if the estate is not yet finalised.

Can a single trustee instruct you, or do all trustees need to sign off?

This depends on the trust deed. Some deeds permit majority decisions; others require unanimity. We work to the requirements of your specific deed and confirm signing authority before the mandate is signed so there is no ambiguity later.

How is maintenance handled for trust properties?

Routine maintenance is authorised within agreed parameters. Larger expenditure is referred to the trustees for approval before work proceeds. We use preferred contractors for quality and pricing consistency, but trustees may nominate their own if preferred.

What happens if a trust property is to be sold?

We manage the property until settlement. We can provide a current market valuation and refer to a suitable sales agent where appropriate. The decision to sell rests with the trustees and beneficiaries. We manage the transition and handover of all tenant deposit and lease documentation.
